Availability: Club admins can create one-off sessions. Free RSVP sessions need no payment setup. Ticketed sessions need a connected Stripe payout account and are not available to clubs whose gallery is set to members only.
What is a one-off session?
A single dated activity your club hosts: a track clinic, a trail day, a social run with a guest limit. It is separate from your weekly runs, which repeat every week. Each one-off session has its own page, its own place limit, and either free RSVPs or paid tickets.
How do I create one?
- Open your club admin and choose Events.
- In One-off sessions, choose Create one-off session.
- Fill in Name, Venue (a meeting point or address), Date and local start time, Time zone, Duration in minutes (5 to 1,440), Activity, and optionally About this session.
- Under Registration, pick Free RSVP or Ticketed session.
- Choose Create session.
The time zone is suggested from your club or an existing activity. Check it before you create the session, because the start time is read in that zone. If PodiumBase cannot suggest one, enter it yourself, for example America/Los_Angeles.
Free RSVP or ticketed?
- Free RSVP: set a Capacity (1 to 10,000 places). People tell you they are coming and can release their place before it starts. Stripe is not required. See managing RSVPs for your club runs.
- Ticketed session: add one or more Ticket types, each with a name, price and capacity, up to 12. Use Add ticket type for more. The session's capacity is the total of its ticket capacities.
Paid tickets stay closed until your club can accept payments. Connect a payout account first; see getting paid with Stripe.
What does a ticket cost the club?
The standard registration fee: $1 plus 5% of the ticket price per ticket, never more than $16. It is taken from the ticket price, so the runner pays the price you set and the club receives the rest. Free RSVP sessions have no fee.
Who can see the session?
- Members-only club: only active members can see it, and it can only take free RSVPs.
- Ticketed session in a public club: shown on your club page.
- Free session in a public club: listed in your club page's upcoming runs, but not in race search or discovery. Share the link with your members.
What if it will not save?
- "Native ticket checkout is not available for private club sessions": your gallery is set to members only. Create a free RSVP session instead, or change Gallery visibility in Settings.
- "Session capacity must equal the ticket capacities": adjust the ticket capacities so they add up.
- "Use free RSVP for a free session": a ticket priced at $0 should be a free RSVP session.
- "Choose a future local time that exists in this time zone": the start is in the past, or falls in a daylight-saving gap.
- "Could not create the session. Your entries are kept; try again": a temporary problem. Your form is kept, so try again. If it keeps happening, contact support from the help page.
