How does check-in work?
Two ways, and you can use both at once:
- Look the athlete up by name, email, or bib at the check-in station.
- Scan their QR code, which is faster and is what you want for a queue.
Either marks the entry checked in, and either can be undone if you check in the wrong person.
How do athletes get a QR code?
Generate check-in links or QR codes from your roster and send them ahead of race day, in the same email as your packet-pickup details. An athlete arrives with it on their phone, you scan, they move.
Have the lookup path staffed anyway. Someone always arrives with a dead battery.
Is packet pickup tracked separately?
Yes, and keeping it separate is deliberate. Checked in means "this athlete is here"; packet picked up means "they have their bib and shirt". They are different questions on race morning, especially when packets are handed out at a different tent than check-in.
Both can be undone independently.
Can I run more than one station?
Yes. Label each station and every scan records which one it came from, so you can see where your queue actually is rather than guessing. Two labelled stations plus the audit view will tell you within ten minutes whether you need a third.
What if something goes wrong?
Every check-in and packet action is written to a race-day audit trail with its source and station, and you can export it. When someone says "I definitely checked in", that is the record that settles it, and it is the one thing you cannot reconstruct after the fact if you were working off paper.
